Security Guard Performance Reports and Timesheets

GuardChecker’s immediate alerts and performance reports represent the fundamental value of our service. They are designed to provide managers the information they need; when they need it!

The messages feature sends last minute changes or modifications to the security guards.

Security Guard Performance Alerts | GuardChecker

Immediate alerts may be sent by text message or email. Clients may prioritize every potential action or observation as Normal or Critical.

 

Alerts are sent every time a critical event is reported, for example:

Accidents:

07/21/18 13:25 – Accident – Injuries
A 911 Ambulance was called for new admitting patient Jessica F.

Maintenance issues:

10/02/18 11:35 – Computer Server Room Temp > 84
Break room temperature at 86 degrees F. Maintenance needed for thermostat.

Other critical, unexpected events:

05/28/18 23:39 Missing Patient
assist CA with a missing male patient from Templeton hall.

Alerts may also be sent when required actions are NOT performed, for example:

Checkpoints not checked:

As of 05/09/2018 06:00:00 there is no record of the following Locations having been scanned for at least 1 day. Back Dock Roll Up Door, Exterior Bat Cave Conference Room, Box Room IDS Conference Room.

Failure to Sign In:

As of 05/04/18 02:45 there is no record of “J*** F*** Group: IN ” having been scanned since 05/04/18 00:00.

Failure to send timely messages:

As of 05/16/18 21:10 there is no record of “T*** D***: “I AM SAFE” having been scanned since 05/16/18 19:10.

Overview:

GuardChecker’s basic reports include:

  • Daily Activity Report (DAR)
  • Checkpoint Performance Report (CPR)
  • Security Officer Performance Report (SOPR)

All of these reports are interactive. Authorized managers have a variety of filters and variables they may use to tailor to just what they need.

Additionally, our report design approach is flexible. New reports may be created if the client needs them.

GuardChecker’s organizational setup structure permits a Parent/Child relationship. That means a corporate client (the Parent) may create subordinate organizations (the Children). Then the parent may review and compare all their children or view them one at a time.

Fundamentals:

All security monitoring systems collect and store large amounts of data. The value of the system’s reporting capability is the ability to easily and quickly select only those data needed to produce timely and focused management reports.

Managers don’t want to be overwhelmed with pages of routine data that make it hard to identify key issues. Reports need to provide what they need, when they need it. It could be for a short term operational need for a single site or an investigation that may cover multiple sites over an extended time frame.

GuardChecker’s interactive reporting capability supports all requirements!

GuardChecker’s data collection app permits security guards to record all of their actions and observations. (The service goes far beyond recording merely location checks at a single site.)

The first step, after collection, is to convert all raw data into meaningful management information – the Who, What, When, and Where.  Our proprietary software does that by using rules of association established during the setup phase.

GuardChecker associates the following into meaningful management information.

  • The person (guard) who collected the data
  • The organization where the collection took place
  • The security provider of that guard
  • The guard’s action or observatios
  • The organization where the collection took place
  • The security provider of that guard
  • The guard’s action or observation
  • The client’s priority for that action or observation

After the raw data is processed; it is stored in the client’s secure section of our cloud based software.

This processing also prepares the cloud based software to create requested management reports.

Reports may be requested and accessed by any authorized manager using any platform, anytime, anywhere.

Basic Reports:

Daily Activity Report (DAR)

GuardChecker eliminates the need for routine pen and paper Daily Activity Reports (DARs). The officer’s activities are captured and digitally recorded. They are electronically filed and may be accessed by any authorized manager, anytime, anywhere on any computer with an internet connection.

Just like today, there still may be the need for more detailed explanations for unusual occurrences. However, even then, those incidents will be captured by our service with a brief report including the date, time, and location of the occurrence.

DARs are detailed reports. They are designed to record all of the officer’s actions and observations from Sign In to Sign Out.

The Location Performance Report permits the Security Manager to focus on specific locations where Guards have physically visited and recorded on their smartphone. Within a specified time frame the reports tells the number of times, when, and who checked each location. Based on the locations entered in your location setup, the CPR can also report those locations not checked or infrequently checked. Associated with each location check is the name of the Guard making the check.

The top portion of the CPR recaps the selection criteria and summarizes the locations checked by organization.

In the detailed portion, reported by each Organization, of the CPR specifies for each location; the Date/Time it was checked along with the name of the Guard making the check.

Checkpoint Performance Report (CPR)

Security Officer Performance Report (SOPR)

Similar to the CPR, the Security Officer Performance Report permits the Security Manager to focus on individual officer performance.

The officers are shown by name and it is easy to compare how many checks they made and the elapsed time between checks, and compare that performance to other officers.

The SOPR also enables the Manager to drill down to investigate individual officer performance over time.

The SOPR filters and variables are similar to what you have seen before.

Security Guard Timesheets | GuardChecker

In many organizations, guard hours represent the largest recurring security expense. Time and attendance reporting permits security managers at all levels to accurately and consistently record the actual on-site hours for their entire guard force.

The time and attendance process begins when officers use their personal identifier to Sign In. They will do this by using the GuardChecker smartphone app. They will complete the process when they Sign Out (using a similar process to Signing In) when they complete their tour of duty.

GuardChecker’s time and attendance recording produces security guard time sheets at several levels of detail:

Security Guard Timesheet

The Timesheet Report shows the exact time and date each officer signed In and Out. The Timesheet format is an excellent report to compare to the provider’s invoice. In fact, your provider could use this report as the basis for their invoice. (As a benefit to the provider, this report supports many of the time keeping requirements they must fulfill, including payroll and Federal Labor Standards Act.)

It is inevitable that people (guards, temps, etc) will on occasion fail to sign In or Out. When this occurs the T&A report will show a –Missing–. When this occurs it is very disruptive to accurate, objective record keeping. Our T&A option provides several ways to correct these errors. Not only can the errors be corrected but the fixes are easily identifiable and transparent part of your database.

Security Organization Detail/Summary/Comparison

Many Security Directors are responsible for multiple facilities or organizations. These reports permit the Managers to discreetly and consistently see security guard hour usage at any or all  of their subordinate facilities.  The reports sort by Organization then by guards and their providers. This series of reports permits senior managers to compare guard hours by provider. This report, in combination of the Performance Reports, provides Security Directors with an unprecedented ability to compare various providers.
